1. Who is responsible

EPIQVERSE Studios is a brand operated by its parent company, Shanthyalaya Healthstyle Private Limited (“Company”, “we”, “us”, “our”). The Company is responsible for the purposes and means of handling personal information described in this Policy. Correspondence address: First Floor, Singarathoppil Arcade, Ramankulangara, Kollam, Kerala, India. Privacy requests and grievances: queries@epiqverse.com.

2. What this website currently does

This website showcases films, concept artwork, the studio and collaboration information. Its creative-brief form generates a downloadable text file in your browser. The form does not submit your name, email or idea to EPIQVERSE, and the site does not store a copy in a studio database. Downloading a brief does not subscribe you to marketing. If you later send that file to the studio, the information you send is handled as a communication under this Policy.

3. Information we may handle

When you contact us, we may receive your name, contact details, organisation, project idea, correspondence, attachments and choices about future contact. Share only information needed for your enquiry. Do not send passwords, payment credentials, government identifiers or another person’s confidential material through a creative enquiry.

Website hosting, delivery and access providers may process IP addresses, timestamps, browser and device information, request paths and security logs to deliver and protect the service. If the hosting platform requires sign-in, it processes authentication and access information under its own notices. Our studio pages do not request your ChatGPT password or read your ChatGPT conversations.

4. Why information is used

We use information actually received to respond to enquiries, assess a proposed collaboration, provide agreed services, maintain relevant business records, prevent misuse, handle rights requests and meet legal obligations. We obtain consent where required and use another basis only where applicable law permits. Using the website or accepting Terms is not blanket permission for unrelated processing.

5. Email and WhatsApp communications

Replies about an enquiry or an agreed project are service communications. Optional promotional email or WhatsApp messages require the appropriate permission and a clear way to opt out. We do not collect marketing permission through the current local-download form. If a future sign-up is introduced, it will explain the relevant purpose and channels separately. You may withdraw promotional permission through the instructions in the message or the EPIQVERSE contact address. A minimal suppression record may be kept to honour that choice.

6. Analysis and AI development

The current studio website does not include a studio-installed analytics, advertising or tracking SDK. We may review necessary technical records for reliability and security. Broader audience analysis or new analytics tools will be described before introduction, with controls where required.

For internal development of recommendation or support tools, we prioritise aggregated or effectively anonymised information. Identifiable enquiries, personal records and confidential creative briefs are not authorised for general-purpose AI model training merely because you browse this site or download a brief. Any proposed identifiable-data training use requires a specific notice and separate permission where required. We do not sell personal information or give providers permission to use identifiable enquiries for their own general-purpose training.

7. Group handling and service providers

We do not sell or rent personal information, contact lists or identifiable activity histories. Authorised personnel supporting EPIQVERSE and its parent company may access information only as needed for their duties. Being part of the Shanthyalaya group does not give every brand unrestricted access. A separate group entity’s own marketing or materially different use requires an appropriate notice and permission where required.

Hosting, security, authentication, email and other necessary service providers may process information to deliver their services under appropriate arrangements. This is not a sale of personal information. We may also disclose information when legally required or reasonably necessary and legally permitted to address fraud, safety, security or lawful claims.

8. Storage, security and retention

We use reasonable technical and organisational safeguards appropriate to the information and risk. No internet service is completely secure. We investigate suspected incidents and provide notifications required by applicable law. Some providers may process information outside India, subject to applicable restrictions and safeguards; we do not promise exclusively Indian storage.

Enquiries are kept only while reasonably needed to respond and assess the relationship; project records while needed for delivery and relevant legal, accounting or dispute obligations; marketing records while valid permission and continued necessity remain; and security logs for proportionate operational and mandatory requirements. Records are reviewed and deleted or effectively anonymised when no longer needed. Backups may persist through controlled rotation or lawful preservation. Local briefs remain under your control in your browser and downloads; we cannot erase a file on your device.

9. Your choices and requests

Contact queries@epiqverse.com to ask about information we hold, request correction or deletion, withdraw consent, or raise a grievance. Where applicable law provides, you may nominate another person or approach a competent authority. We may proportionately verify identity before disclosing or changing records. We will explain relevant legal retention exceptions rather than promise unconditional deletion. Requests concern records actually held by us; hosting-provider account requests may need to go to that provider.

10. Children

General film and artwork pages may be viewed by a broad audience; business enquiries are intended for adults. The brief form does not transmit children’s details to the studio. We do not knowingly collect children’s information for targeted marketing or profiling. Anyone under 18 should ask a parent or guardian to contact us for a collaboration. If we learn that a child’s information has been sent without an appropriate basis, we will review it and take appropriate steps. Parents and guardians may contact the EPIQVERSE enquiries desk.

11. Cookies, external services and changes

See our Cookie Policy for current technologies. Film files and fonts are hosted with this site; playing the current video does not load a YouTube or social-media embed. External services and independently visited links have their own policies. We will update this Policy if practices change, provide additional notice for material changes where appropriate, and obtain new permission where required. An update does not automatically authorise unrelated processing.

12. Contact and grievances

For questions, privacy requests, content concerns or grievances, contact the Enquiries & Grievance Desk — EPIQVERSE Studios, Shanthyalaya Healthstyle Private Limited, First Floor, Singarathoppil Arcade, Ramankulangara, Kollam, Kerala, India. Email: queries@epiqverse.com. Please include a clear description of your request in the subject line. We aim to acknowledge complaints within 48 hours and resolve them within 30 days, or sooner where applicable law requires. We will communicate the status if further investigation is needed.
